Kasey app: kasey.chiefguttering.live
Command: command.chiefguttering.live

Pick your name and enter your Command PIN. It is the same PIN for both.

Add a job in Command

Open the Jobs tab.
At the top right, pick New order (contractor or roofer job) or New retail lead (homeowner calling in).
Fill in the form: address, contact, what they need, and any notes.
Tap Save order or Save lead. The job appears in the New order column.

Moving a job to the right column (Stage)

Every job sits in the column that matches its Stage. To move it:

Click the job to open it.
At the top right, find the Stage dropdown.
Pick the new stage. The job moves to that column right away.

You can also change the stage from the dropdown at the bottom of each job card on the Jobs board.

Stage	Use it when
New order	The job just came in and needs measuring
Measure assigned	Someone is set to go measure it
Measured	It's measured, but the estimate isn't sent yet
Estimate sent	The estimate went out and we're waiting on approval
Approved — to schedule	Approved and needs a date and crew
Scheduled	On the calendar with a crew
Complete	Work is done
Paid / Closed	Paid in full

Always keep the Stage current. It is what everyone sees in Command, Kasey and the contractor apps.
Ready to Schedule in Kasey sets Approved — to schedule for you.
Never delete a real job. If it's dead, open it and use Cancel this job.

Assigning the job to a crew (putting it on the calendar)

In Command, open the job. It should be at Approved — to schedule.
Open the Work order section and go to Schedule & crew.
Pick the start date.
Check the box for the crew. You can pick more than one.
Tap Put on calendar. The job moves to Scheduled automatically, and the contractor sees the start date in their app.
Tap Text work order link to crew so the crew gets the job on their phone.

To change the date or crew, pick the new ones and tap Put on calendar again. To take a job off the calendar, tap Unschedule.

Verifying the crew calendar

Open the Calendar tab in Command.
Check that each job is on the right date with the right crew, and that no crew is double-booked.
If something's wrong, open the job and fix it under Schedule & crew.
To see exactly what a crew sees, sign in to crew.chiefguttering.live as Admin — (your name) with your Command PIN and filter by crew.

Command leader (Tyler): closing out jobs

Every job needs these before it's closed:

Photos: the crew adds finished photos on the work order (Take photo or Upload).
Labor: the crew taps Enter labor on the work order and saves it.
Complete: the crew taps Mark complete when the job is done.

Tyler checks every Scheduled job daily:

If a job is done but has no photos or no labor, call the crew and have them add it before the end of the day.
If the crew forgot to mark it complete, open the job in Command, go to Work order, and tap Mark complete.
When the job is paid, tap Mark paid / closed.

Add a job in the Kasey app

Go to the New (Not Measured) tab and tap the red + Add job button.
Job section: tap Retail (homeowner) or Contractor.
- For a contractor, pick the Contractor — Salesman from the list. If the salesman isn't listed, choose "Type a name…" and type it.
- Enter the Address (required), plus city, homeowner name (required for retail), phone and email.
- Ready date: when the roof or job will be ready for gutters.
- Card note: a short flag that shows on the job card, like "Need color" or "Diff colors — need specific lengths".
Notes: anything the office or crew should know (gate code, dog, access).
Gutter 1: gutter size, downspout size, color, linear feet, then the parts. Second color? Tap + Add Gutter 2 (color).
Bay miters, cover, fascia, custom: bay miters, gutter cover LF, fascia LF, and any custom items.
Estimate: check the 5" and 6" totals and the totals with each gutter cover. Any price can be changed for this job.
Drawing/Photos: tap Take photo or upload.
Pick a button at the bottom:
- Save: keeps the job in its current tab.
- Measured — incomplete: measured, but something is missing (color, lengths). Moves to Measured — Incomplete.
- Measure completed: everything is filled in. Moves to Measured — Complete.
When the job is ready for the calendar, tap Ready to Schedule on its card. It moves to Schedule Ready, and in Command it moves to Approved — to schedule.

Good to know

New (Not Measured) also shows every job waiting in Command, including jobs sent from the Marquee and Brown apps. Tap one to open it and measure it.
Use the search box to find any job by address, homeowner, phone, contractor or salesman.

Note about Android phones

Some Android phones don't load the job list. The apps read their data straight from Chief's Google Sheet, and some Android browsers block that. If an Android user sees no jobs:

Try the Chrome app (not Samsung Internet), or
Use an iPhone or a computer until it's fixed.

Tell the office which phone and browser had the problem.

Reports: Kacey efficiency

What this report measures

Kacey time: how long a job sits with Chief from the moment it is assigned until it is Schedule Ready, not counting any time the job is stalled on the contractor.

The 48-hour rule

Kacey has 48 work hours from assignment to get the job measured and either into Schedule Ready or a contractor stall.

Saturdays and Sundays don't count. Example: assigned Friday at 2 PM, due by Tuesday at 2 PM.

What pauses the clock (contractor stall)

Waiting on contractor: Color requested, Start date requested, Missing info
A kick-back (Need More Info) until the contractor resubmits
Estimate sent, waiting on the contractor or their customer to approve

The clock starts again when the contractor answers, the job is resubmitted, or the wait is cleared.

What does NOT pause the clock

Red Waiting on Chief reasons (Needs measuring, Estimate not built, Material, Crew / schedule, Other). Those count as stuck.

When a job counts as ready

Schedule Ready in the Kasey app, or Approved, to schedule in Command.

The columns

Column	Meaning
Address	The job's street address. Click it to open the job
Assigned	When the clock started: the job was set to Measure assigned
Time to measure	Work hours from assigned until the measure was turned in
Time to hand-off	Work hours from the measure turned in until Schedule Ready or the first contractor stall
Kacey time	Total work hours with Chief, contractor stalls removed. Hours under 48, days above
48 hr	✔ Met, ✖ Missed, or In progress
Stall time	Work hours the job sat paused on the contractor
Running avg	Average Kacey time of the ready jobs up to that row, so you can see the trend

Red rows

The job went past 48 work hours before reaching Schedule Ready or a contractor stall, or it is still with Kacey and over 48.

No assign date — skipped

If a job was never set to Measure assigned (for example, Kacey found the lead himself and turned the measure in), there is no start time. The job is listed, greyed out, but not counted in any efficiency number.

No clock data

The clock started when this version went live. Jobs assigned before that have no history, so they are left out instead of guessed.
